Privacy Policy

Ringfence provides AI phone assistants that answer calls for businesses, book appointments, take messages and flag suspicious calls. This policy explains what information Ringfence handles and why.
Information we handle
- Calls: the caller's phone number, a transcript and summary of the call, and, only if the business turns it on, an audio recording. Callers are told at the start of each call that they are speaking with an AI and that the call is transcribed.
- Business records: details a business adds about its team and customers, such as names, phone numbers, email addresses and booking details. Dates of birth used for identity checks are stored only as one-way scrambled values that cannot be read back.
- Bookings, messages and enquiries created during calls or in the Ringfence console.
- Google Calendar data, only when a business connects its calendar (see below).
Google user data
When a business connects Google Calendar, Ringfence requests permission to view the business's calendars and to create, change and delete events. Ringfence uses this access only to:
- check when the business is busy, so the AI does not offer times that are already taken, and
- add, move or remove the bookings made through Ringfence.
Ringfence does not sell Google user data, does not use it for advertising, and does not use it to train AI models. It is not shared with anyone except as needed to provide these features. Staff do not read it except with the business's permission, for security, or where the law requires.
Ringfence's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
A business can disconnect Google Calendar at any time from the Integrations page in the Ringfence console, or from its Google Account permissions. Disconnecting removes Ringfence's stored access.
Service providers
To run calls and the service, Ringfence uses trusted providers that process data on its behalf: Vapi (call handling and voice), Anthropic (the Claude AI model), the business's phone carrier, Render (hosting), and, if enabled, Resend (email alerts) and Twilio (text messages). Some of these providers process data outside Australia, including in the United States.
How long we keep it
Each business chooses how long call transcripts are kept: between 30 days and 2 years, and 1 year unless they change it. Older transcripts, finished messages and enquiries, and past bookings are then deleted automatically. Backups are kept for 14 days, so deleted information leaves them within that time. A business can ask for its data to be exported or deleted at any time. Call audio is not recorded by Ringfence-generated assistants; a business using its own Vapi assistant controls that assistant's recording settings in Vapi.
Security
Data is sent over encrypted connections. Access to the console is password protected, and requests from the phone system are verified before any data is shared.
